Job Description

 

Fáilte Ireland now has an opportunity for an Assistant to join the International Publicity team to perform on a Fixed Term contract basis.

Applications are invited for the position of International Publicity Assistant to provide support to the International Publicity Team. The role will report to the International Publicity Assistant and be based at Fáilte Ireland, Áras Fáilte, 88-95 Amiens Street, Dublin 1 or Fáilte Ireland, Unit 20F, Liosban Business Park, Tuam Road, Galway.

Job Purpose

To support the delivery of International Publicity for Ireland by managing the administration support within the International Publicity Team. 

 

 

Primary Objectives/Key Responsibilities

International Publicity Support

  • Support the design of itineraries for international media trips
  • Ensure all backup of payments are in place
  • Ensure the Publicity Itinerary Management System is up-to-date
  • Communicate PIMS costs, type of attendants and number of trips to International Publicity Executive and Manager
  • Assist in creating bespoke itineraries to accommodate different market needs
  • Ensure multiple rates are obtained for all hotel reservations to ensure value for budget
  • Raise purchase orders as required
  • Set up new vendors with procurement
  • Conduct research using multiple media channels
  • Source suppliers
  • Maintain expenditure sheet for all research projects
  • Coordinate trip logistics, ensuring rail reservations are in place and booking forms complete
  • Manage payment option of pcard
  • Manage suppliers such as car hire, taxi, accommodation and activities

 

Administrative Support

  • Diary Management
  • Provide logistics support for meetings by setting up venue, organising room layout, booking accommodation, dealing with the invitees
  • Record, produce and distribute minutes of meetings
  • Follow up on actions arising from meetings and record outcomes
  • Assist in the management of the Budget for the department
  • Quarterly Reports for MAC and the Programme teams.
  • Work with Ergo and CRM team on the implementation of CRM for International Publicity, Trade and the Events departments
  • Maintain a database of hosted media
  • Assist colleagues with budgets and reports

 

Stakeholder Management

  • Liaise with Programme Staff on suggestions and ideas for itineraries
  • Co-ordinate arrangements for meetings with external partners and providers
  • Engage with mentors and other 3rd party providers to provide logistical support

 

Carry out all other duties as required

 

* The successful candidate will commence on the 1st point of the salary scale in accordance with current Government policy.
